I’ve spent my career in production and creative execution, and if there’s one thing I know for certain, it’s this: great creative work doesn’t happen without great production partners.
For 14 years, I worked as Vice President of Production and Executive Producer at StudioNow, overseeing brand-defining campaigns for AT&T, Coca-Cola, P&G, Toyota, and others. I’ve been on the front lines of marketing production—negotiating bids, selecting vendors, and watching firsthand how the right production partner can elevate creative work from good to extraordinary.
But I’ve also seen the challenges and inefficiencies that production vendors face. The lack of transparency, the black-box bidding process, potential unfair advantages and conflicts of interest within the marketplace—these were fundamental problems that hurt the entire creative industry.
That’s why we built Octerra. ![]()
At Octerra, we believe that a thriving production ecosystem depends on vendors having the tools, transparency, and opportunities they need to succeed. We remain steadfast in enhancing the vendor experience on our platform—both in what we already provide today and in the improvements we’re actively working on. This post is about our commitment to vendors: what’s already in place, what’s new, and what’s coming next.
What Octerra Already Does to Empower Vendors
Over the years, I’ve had conversations with many vendors who assume Octerra is just another procurement tool, no different from submitting a bid via email.
That couldn’t be further from the truth.
Vendors using Octerra already benefit from game-changing protections and efficiencies that aren’t available anywhere else. But, before we talk about what’s coming next, let’s break down the tangible advantages vendors already have on our platform.
1. A Fair and Level Playing Field with Sealed Bidding
Perhaps the most critical benefit for vendors is our sealed bidding process—a feature designed to create a more level playing field and reduce conflicts of interest in production procurement.
- Agency producers cannot see any bids until all have been submitted.
- Every vendor receives the same information at the same time.
- Agency-owned production resources compete on equal terms with all vendors.
For years, vendors have had to navigate a system where small advantages in access or timing could influence outcomes in ways that weren’t always transparent. Octerra helps remove those concerns by structuring a sealed and fully documented bidding process that minimizes unfair advantages and ensures vendors are evaluated on their expertise, creativity, and value—not unfair advantages or preferential access.
We believe that greater transparency leads to greater trust—and that’s the foundation of strong vendor partnerships.
This isn’t just a feature—it’s a foundational principle that Octerra was built on.
2. Secure Bid Data: Protecting Vendor Information
One of the biggest misconceptions in this industry is that bidding via email is safe. The reality? It’s far riskier than using a platform like Octerra. Once a bid is sent, there’s no visibility into where that information goes, who has access to it, or how it’s used.
Octerra solves this by providing an auditable, secure process:
- Enterprise-level security & privacy standards protect vendor data.
- Vendors can see exactly who has access to their bids.
- All activity related to that bid including viewing and downloading) did want and when is tracked and auditable.
In short: Your data is safer in Octerra than anywhere else.
3. Searchable Vendor Profiles: Expanding Visibility
When vendors create an account on Octerra, they become a part of a select group of the very best vendors in the world. Unlike open marketplaces where just anyone can sign up, Octerra maintains a curated ecosystem—vendors must be invited by agencies or brands to be included. This ensures quality, trust, and access to high-value projects.
Once on Octerra, vendors are then searchable and browsable by any brand or agency that uses Octerra. That’s why we introduced searchable vendor profiles, allowing production companies to:
- Showcase past work and capabilities to the world’s top agencies and brands.
- Be browsed by Octerra users, including some of the most accomplished marketers in the industry.
- Include diversity certifications, making it easier for brands committed to supplier diversity to find them.
- Clearly present expertise and geographic reach so the right clients can discover them.
For example, if a marketer would like to work with a woman-owned production company specializing in photography in the San Francisco area, they can filter the vendor database to find the right fit.
4. Operational Efficiency: Streamlining Vendor Workflows
We understand that vendors want to spend more time on creative execution and less time dealing with administrative headaches. That’s why we’ve built tools that:
- Allow vendors to archive and reuse past bids, making it easy to repurpose proposals for similar projects.
- Keep all bid-related documents organized in one place, ensuring version control.
- Provide a structured, simplified process that removes friction in vendor-client interactions.
What’s New: Brands and Marketers Can Use Octerra on a Per-Project Basis
Until now, Octerra has primarily served brands and agencies managing production at scale—those who produce enough work annually to justify a subscription. But that model left out a huge segment of the market—brands and marketers who only need to produce a few projects per year.
Instead of requiring an annual subscription, brands can now access Octerra on an as-needed, project-by-project basis.
- More projects will enter the Octerra ecosystem, creating more bidding opportunities.
- Vendors gain exposure to clients who previously didn’t use Octerra.
- A broader range of projects across different industries will now be sourced through the platform.
This expansion will increase work for vendors while maintaining the structured, high-quality procurement process Octerra is known for.
What’s Next: Our Vendor Roadmap for 2026 and Beyond
Opening per-project access is just the beginning. Our roadmap includes even bigger improvements designed to make the vendor experience even stronger.
1. Greater Transparency on Bid Interactions
Real-time notifications when bid documents are viewed.
Tracking of which specific bid components stakeholders engage with.
Timeline visibility to help vendors understand decision-making timelines.
2. Advanced Data & Reporting for Vendors
Track how often you’re invited to bid and how frequently you win.
Structured feedback for both winning and unsuccessful bids to improve competitiveness.
3. Smart, Innovative Workflows
We’re reducing manual work and streamlining bid creation in smarter ways:
Seamless integration with 3rd party budgeting and bid creation tools.
AI-driven smart form-filling to reduce repetitive data entry.
Automated workflow optimizations that intelligently speed up bid submissions.
Cut the admin and focus on your craft.
The Bigger Picture: Why This Matters for the Entire Industry
Vendors bring deep craft, experience, and creative perspective to the work. When they’re treated fairly and supported with the right tools, it leads to better relationships, smoother collaboration, and, ultimately, stronger creative outcomes.
At Octerra, we understand that—and it's why we're committed to building tools and systems that make the vendor experience more transparent, efficient, and rewarding.
Bottom line: when vendors are empowered, the whole industry thrives.
